What information we collect
- Enquiries: your name, contact details and anything you tell us when you call, email or message us.
- Clients: identity documents and checks required by anti-money laundering law, business and financial records, bank statements, and payroll information about you and your employees.
- Website: this website does not use analytics or advertising cookies. Fonts are loaded from Google Fonts, which means your browser sends your IP address to Google when the page loads.
Why we use it, and our lawful basis
- To reply to enquiries and give quotes: legitimate interests, or steps taken at your request before a contract.
- To provide our services: performance of our contract with you.
- Identity and anti-money laundering checks: legal obligation under the Money Laundering Regulations 2017.
- Reporting to HMRC and keeping records: legal obligation.
Who we share it with
We only share information where needed to do the work or meet the law: HMRC, pension providers, our accounting and payroll software providers (such as Xero, QuickBooks or Sage), identity verification services, and our professional body or regulators if they ask. We never sell your data.
Some software providers store data outside the UK. Where they do, they use safeguards approved under UK data protection law.
How long we keep it
We keep client records for 6 years after the end of the relevant tax year, and anti-money laundering records for 5 years after our relationship ends, as the law requires. Enquiries that don't lead to work are deleted after 12 months.
Your rights
You can ask to see the information we hold about you, ask us to correct or delete it, object to or restrict how we use it, or ask for a copy to take elsewhere. Some rights are limited where we must keep records by law. Contact us using the details above and we'll respond within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
